Privacy Policy

Last Updated: July 2026

At ProspectVine, we value your privacy and are committed to protecting your personalinformation. This Privacy Policy outlines how we collect, use, disclose, and safeguard theinformation you provide while interacting with our website and services.

1. About ProspectVine

ProspectVine operates through two registered entities: ProspectVine Marketing Private Limited, registered in Pune, Maharashtra, India, and ProspectVine Marketing Limited, registered in London, United Kingdom. Together they provide data-driven marketing, lead generation, and digital strategy services to global enterprises.

Because we are established in both jurisdictions, this Privacy Policy is designed to comply with both India’s Digital Personal Data Protection Act, 2023 and the UK GDPR (and the EU GDPR where applicable). It applies to all interactions, including when you browse our website, subscribe to updates, download assets, or engage with our campaigns.

2. Information We Collect

a. Information You Provide Voluntarily

When you interact with us, you may provide:

  • Name, email address, phone number, and company information
  • Professional details such as job title or business sector
  • Service inquiries, feedback, and other voluntary information

b. Third-Party Sources

We may receive verified business contact data from trusted data partners for B2B marketing and lead generation, always in compliance with applicable privacy laws such as GDPR and India’s Digital Personal Data Protection Act.

c. Information Collected Automatically (Cookieless Analytics)

When you browse our website, our own first-party analytics records technical and usage information — pages viewed, the referring source, campaign parameters (UTM), on-site interactions, approximate location (country, region, and city), and device or browser type. By default it sets no cookies — if you accept cookies we additionally store one random first-party identifier (pv_vid, no personal data) to recognise your return visits, and declining keeps it fully cookieless. Visits are otherwise identified using a non-reversible signature derived on our server from request data and a salt that rotates daily; the raw IP address is discarded and never stored, so this data cannot be traced back to you and is not personal information. We retain it for up to 13 months. This is separate from, and in addition to, third-party analytics such as Google Analytics.

3. Purpose of Data Collection

We collect and process your information to:

  • Provide, personalize, and improve our services
  • Respond to inquiries and deliver requested information
  • Conduct analytics to enhance website performance
  • Send marketing and promotional communications (with consent)
  • Comply with legal and regulatory obligations

We do not sell or rent your personal data to anyone

4. Legal Basis for Processing (For EEA & UK Users)

Where required by law, we rely on one or more of the following legal bases:

  • Consent — when you voluntarily share information or opt-in to communications
  • Contractual necessity — when processing is required to deliver requested services
  • Legitimate interest — for analytics, improvement, and fraud prevention
  • Compliance with legal obligations

5. Data Retention

We retain your information only for as long as needed to fulfill our business or legal obligations. Once the retention period ends, we securely delete or anonymize your data.

6. Data Protection and Security

We employ industry-standard technical and organizational measures to secure your information, including:

  • SSL encryption and secure servers
  • Role-based access controls
  • Periodic data audits and regular security updates
  • Encrypted backups and monitored network systems

Despite these measures, no online platform can guarantee absolute security; however, we take every precaution to minimize risk.

7. Data Sharing and Disclosure

Your data may be shared with:

  • Authorized partners or service providers assisting in our business operations
  • Analytics and CRM tools that support marketing automation
  • Legal authorities when required to comply with law

All third parties are bound by confidentiality and data protection agreements.

8. International Data Transfers

As we operate in both India and the United Kingdom, your information may be processed in, or transferred between, these countries and, where necessary, other jurisdictions. For any cross-border transfer we apply appropriate safeguards — such as Standard Contractual Clauses or equivalent legal mechanisms — consistent with the UK GDPR, the EU GDPR, and India’s Digital Personal Data Protection Act.

9. Your Rights

You have the right to:

  • Access, correct, or delete your personal information
  • Withdraw consent for marketing communications
  • Request a copy of your data
  • Object to processing under certain conditions

To exercise these rights, email us at [email protected].

10. Changes to This Policy

We may update this Privacy Policy periodically to reflect new legal requirements or company practices. The latest version will always be posted on this page with an updated “Last Modified” date.
